Payment Terms and Cancellation Policy
Reservations, Payments, and Confirmation
Reservations can be made by email or electronic chat and will be confirmed within 24 hours whenever possible. A reservation is not deemed to have been made until it is confirmed in writing (electronic or print) by a member of the Adventure Access team and the following terms are accepted by the client.
Payment can be made by ACH or wire transfer or credit card. Non-refundable booking deposits and a payment schedule will be established at the time of booking. Full payment is required 30 days prior to arrival. If travel is booked less than 30 days before arrival, full payment is required at the time of booking. Any bank charges levied by the sending bank related to transfers to Adventure Access must be paid by the client or their agent.
Deposits, Cancellations and Refund Policy
Crafting transformative experiences for our clients takes care and hard work. We have limited availability throughout the year, so Adventure Access requires a non-refundable deposit at the time of booking. If a cancellation must be made for any reason, please do so in writing. Cancellations made 45 days prior to the arrival date on the itinerary will not be subject to any additional cancellation fees, except those according to the policies of any third party such as but not limited to hotels, airlines, and other contractors of Adventure Access or unless stated otherwise in a formal contract with Adventure Access.
Cancellations within 45 days of the arrival date will be subject to the following charges on the balance due after the initial, non-refundable deposit:

The right to participate
All Adventure Access tours or events require all participants to complete and sign a Travel Consent and Release of Liability form. Any refusal to do so requires the participant to forfeit their right to travel with or take part in any portion of the tour or event.
Travel Insurance
All clients are required to have Travel Insurance that includes coverages for adventure activities/sports.
General Disclaimer for itinerary changes
Due to special circumstances beyond control, including but not limited to holidays, special events, seasonal schedule changes, weather, traffic delays and itinerary adjustments, etc., some sights and activities may not be available. Under such circumstances or toward the improvement of the tour experience, Adventure Access reserves the right to make changes in the itinerary at their sole discretion.
Cancellation by Adventure Access and Force Majeure
Adventure Access has the right to postpone, suspend, cancel, or reschedule any tour or event, at any time, in its sole discretion in the event of Force Majeure and 1) provide an account credit, or 2) transfer registration to the same or similar tour or event at a future date. No refunds, whether partial or full, will be made if Adventure Access postpones, suspends,
cancels or reschedules an event because of Force Majeure.
In the event that Adventure Access must cancel a tour or event due to reasons other than
those caused by Force Majeure, we will provide a full refund.
Force Majeure – Definition and Impact
Adventure Access will not be deemed in breach of this agreement or otherwise liable to you, by reason of delay in performance, underperformance, or nonperformance of any of its obligations under this agreement to the extent that any such delay, underperformance, or nonperformance is due to any Force Majeure. “Force Majeure” means any circumstances beyond our reasonable control including but not limited to, acts of God or nature, war, curtailment or interruption of transportation facilities, strikes and/or labor disputes or the imminent threat thereof, threats or acts of terrorism or similar acts, disease, quarantine, global health emergencies, viruses, epidemics, pandemics, travel restrictions or limitations, government or regulatory actions, significant change in economic conditions, mandatory office and business closures, full and partial lockdowns of cities, towns and other areas, governmental or international agency travel advisory or warning, corporate travel restrictions, widespread public fear and panic that impacts travel, civil disturbance, or any other event or circumstances beyond Adventure Access’s control, whether similar or dissimilar, which, in Adventure Access’s reasonable and sole judgment, would tend to make it commercially impracticable (from a safety, health, logistical, economic, or financial standpoint), inadvisable, difficult or onerous, illegal or impossible for Adventure Access or its partners to perform their obligations under this agreement or have a significant adverse impact on Adventure Access.
Claims
All claims and disputes arising under or relating to Adventure Access contracts ought to be resolved by both parties through consultations in good faith. In case no resolution can be reached through consultation, either party may bring an action within the United States of America and in accordance with the laws and regulations of the United States of America.
